Exhibitor Move-In: Friday, August 16th, 8 AM – 5 PM (All booths must be set up by 5 PM)

Expo Dates & Times:

• Saturday, August 17th, 2024: 10 AM – 5 PM (Exhibitor access starts at 8 AM)
• Sunday, August 18th, 2024: 11 AM – 4 PM (Exhibitor access starts at 10 AM)

Exhibitor Move-Out: Sunday, August 18th, 4 PM – 6 PM (Breaking down before 4 PM is not allowed)

Complimentary Tickets: Each exhibitor receives 25 free admission tickets.

Parking:

• Free parking is available.
• Designated Exhibitor Parking is at the rear of the Expo building. Follow the VENDOR PARKING signs from W. Roosevelt Rd & Howard St. Do not park in front of the building.

– BOOTH INFORMATION –

Booth Includes:

• Free Standard Electrical Outlet (Outlets are limited; bring a 30’-50’ extension cord and plug strips. Outlets are only on columns or walls, no cords in aisles.)

Staff Badges:

• Each booth receives 5 badges for booth personnel, managed at the Exhibitor Registration Desk (first stop on move-in, Friday, August 16th).

Sampling/Selling Food:

• Vendors must provide a Certificate of Insurance listing Donnell Productions (75 Old Post Road, Southport, CT 06890) as co-insured.
• Email a copy of the certificate to wlexpos@womenslivingexpo.com.

BOOTH SIGNAGE

• Best banner sizes: 8’W x 3’H or 6’W x 30″H.

Sales Tax:

• Little Rock sales tax is approximately 9%.
• Forms will be distributed at Exhibitor Registration on move-in, Friday, August 16th.

You must be on hand to accept delivery, or you must make prior arrangements with the Expo Office.

– FINAL BALANCES DUE –

Final Balances are Due by July 17th, 2024. Companies must have a final balance to setup their booth.

 – INSURANCE  –

Exhibitor Responsibility:

• Exhibitors are responsible for any damages to the Exposition facility and property.
• Exhibitors shall indemnify and hold harmless Donnell Productions from all liability arising from any cause, including accidents or injuries to exhibitors, their agents, employees, and attendees at the Expo.

Insurance Requirement:

• Exhibitors sampling or selling food items must provide a Certificate of Insurance naming Donnell Productions as a co-insured.

 –   CANCELLATION/FAILURE TO SET UP   –

Cancellations:

• Cancellations received less than three months prior to the event will not receive a refund or credit.
• Exhibitors are responsible for full payment if canceling within this period.
• Failure to set up does not entitle the Exhibitor to any refund for sums paid for exhibit space.
